Grants Manager

Job purpose/summary: The Grants Manager is responsible for effectively conveying the agency’s story and successfully securing private and government grant funding. The Grants Manager should be able to accurately set and meet deadlines, provide supervision and support to the Grantwriter and collaborate with program and leadership staff. We value individual initiative, as well as the ability to work as part of a team.

Reports to: Chief External Relations Officer

Hours: Full-time, permanent. Generally, this position works 40 hours per week during regular hours 9am- 5pm. Hybrid position (after first 90 days)

Status: Exempt

Responsibilities:

•Private foundations: Working collaboratively with the Grantwriter, identify and cultivate foundations aligned with KCSARC’s programs and projects and develop proposal strategies; conduct ongoing foundation research; write proposals; manage the stewardship once grants are secured; and manage the reporting activities and ensure all internal tracking is current.
•Government grants: In partnership with the Grantwriter, members of the Leadership Team, Program Staff, CFO and other finance staff, and if needed a contract Grantwriter, write, edit, and coordinate the submission of City, County, State, and Federal grant applications and reports.
•Maintain master calendar for all grant activity, to include submitted proposals and grant and reporting requests; create and maintain current records for all grants and reports in database and in department’s collaborative workspace.
•Develop a deep understanding of how all the existing and potential funding and programmatic opportunities align in order to track when grants are expiring and plan for replacement funds.
•Develop annual grant budget projections, track revenue received, and regularly provide analysis of financial results to the Chief External Relations Officer.
•Manage funder site visits including coordination of funders and KCSARC staff participating, development of speaking points and meeting overview, and follow-up.
•Serve as primary point of contact and liaison for foundation funder relationships as appropriate.
•Proactively steward and cultivate relationships with Program Officer directly or in coordination with the Chief External Relations Officer.
•Provide supervision, mentorship and support to the Grantwriter.

Agency and team participation:
•Acquire and actively employ sound knowledge and understanding of the organization,
its work, and its competitive and collaborative environment.
•Actively participate in the External Relations team’s planning and collaboration tools
and processes.
•Coordinate quarterly meetings with Finance team, program managers and staff to
create project-specific budgets.
•Coordinate with relevant program staff to gather updates on
progress/challenges/success towards grant deliverables and current/new funding needs.

Technical functions:
Proficiency in MS Windows, Word, Excel, Outlook, Publisher. Familiarity with common web-based platforms.

Giving Manager

Job purpose/summary: King County Sexual Assault Resource Center (KCSARC) is seeking to add a new position to our successful fundraising team. The Giving Manager will join the dynamic nine-member External Relations staff. The ideal candidate is passionate about the KCSARC mission and has fundraising experience that will blend well with the team of professionals already in place.

The Giving Manager will be responsible for developing a planned giving program, managing a portfolio of individual donors, and prospecting new donors and corporate partners. This position works collaboratively with the External Relations team to help ensure that donor stewardship is at the forefront of our work and is integral in leading moves management strategies.

The ability to accurately set and meet deadlines, collaborate with program staff, leadership staff, board members, and other key volunteers is critical. We are seeking someone who demonstrates individual initiative, as well as the ability to work collaboratively as part of a team.

•Work collaboratively with other program areas to advance fundraising goals.

Administrative Assistant

Reports to: Director of Operations

Function: The Administrative Assistant provides in-person responses to callers, visitors, guests, and clients. In addition, the coordinator provides clerical, organizational, and facility support to the Director of Operations and staff.

Hours: Monday through Friday – 8:30am-5pm (on-site)

SALARY: $28.85 to $30.29 hour, 40-hour work week

Status: Non-Exempt

Essential Functions

Front office/client support.
Oversee daily operations of lobby/reception area including:
• Greeting clients, visitors, guests, and staff. in a professional, friendly, hospitable manner immediately upon arrival. Ensure phone calls are directed to the appropriate staff person. Provide callers with answers to basic agency information
• Support the intake department by fulfilling all requests for client mail packets. Ensure adequate supply of agency brochures and clinical packets. Ensure all client surveys are entered in a timely and accurate manner.
• Support the Client Services/Therapy departments with faxing, scanning, and filing of client records including timely submission of client ROI’s and confidential records.
• Other duties as assigned by Director of Operations

Operations Support.
Provide facility and operational support to the KCSARC office & staff including:
• Opening and/or closing front office/lobby. Scheduling of conference rooms including troubleshooting scheduling conflicts and locating working space for rotating staff and guests.
• Proactively oversee the ordering, receiving, stocking and distribution of agency supplies and respond to special requests. Maintain inventory of supplies and furniture and coordinating with outside vendors.
• Responsible for daily pick-up and drop-off of USPS. Ensure proper flow of correspondence and accurate distribution of daily mail. Coordinates pick-up and delivery of express mail services.
• Support direct service staff in accurate and timely communication with and on behalf of clients in a confidential manner
• Compose and/or proof correspondence, presentation, reports and other agency materials as needed to ensure all documents are accurate and correct before printing. Respond to requests for the creation of new agency brochures and printed materials in consultation with Operations and others as needed.
• Draft agency calendar and all material for bulletin board. Coordinate office calendar and communicate events internally and externally as needed
• Other duties as assigned

Assistance for Clinical Team
• Oversee the submission of Medicaid paperwork to King County
• Work closely with Medicaid staff to ensure compliance
• Review Medicaid billing reports to ensure accuracy and follow-up
• Back-up for Data Entry Clerk – Enter all required data into InfoNet database with accuracy and in a timely fashion.
• Meet all quarterly deadlines

Technical Functions:
•Competency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook and Access, as well demonstrated ability to learn new programs and database systems
•Ability to use standard and reception phones
•Attention to detail in data entry
•Ability to type at least 40wpm
