Senior Accounting Clerk

Job Description 

The Senior Accounting Clerk is an integral part of our finance team.  This position is responsible for the accounts payable, accounts receivable day-to-day accounting, and payroll processing.  This position is currently remote but will be in office as our office re-opens on site.  

 

Accounts Payable

  • Review and validate invoices to ensure legitimacy of billings and accuracy of coding and save electronically for paperless processing.

  • Assist staff with questions on expense coding.

  • Enter all invoices and cash disbursements into accounting system.

  • Run preliminary invoice batch report and submit electronically with backup for approval and posting

  • Run preliminary payment batch report and submit electronically with backup for approval. Initiate all check and ACH and payments and submit electronically for approval.

  • Notify Controller of any material issue or variance.

  • Manage the monthly processing of the credit card transactions of the 25+ corporate card holders including downloading and distributing the charges to the card holders for receipts and GL/grant coding then importing them into the accounting system.

 

Accounts Receivable

  • Calculate, code and enter client-related revenues and accounts receivable.

  • Apply client and grant-related accounts receivable payment receipts.

  • Run preliminary invoice and payment batch reports and submit electronically with backup for approving and posting. 

 

Payroll

  • Review time reporting and payment processing for semi-monthly payroll.

  • Main point of contact for third party payroll processor.

  • Review all tax fillings in a timely manner, including Labor & Industries, 941, W2, W3 and 1095.

  • Prepare 1099 and 5500 for review by Director of Finance & Administration.

  • Manage Payroll files.

  •  

    Minimum Experience Required

    • 4 year college degree plus 1 year directly related work experience; or 2 years college/vocational school plus 3 years directly related work experience; or 6 years direct work experience

     

    Preferred personal competencies, skills, and attributes

    • Customer service experience.

    • MIP/PayNW

    • High degree of organization and attention to detail.

    • Ability to work effectively with a wide variety of individuals of varying backgrounds and positions within the agency and the community.

    • Strong track record in exercising sound, timely judgment. 

    • Competency in using data to inform decisions as well as creativity in problem solving.

    • Superb attention to follow-through.

    • Ability to project a professional image.

    • Proficiency in MS Windows, Word, Excel, Outlook.
