Reports to: Administrative Manager

Function: The primary function of the Bilingual Front Desk Admin is to have the KCSARC business line

and Front Office staffed during regular business hours. Provide reception & clerical support to agency staff and clients in both English and Spanish.

Hours: Full time, 8:30am- 5PM

Salary: 16.95 (plus 5% for language skills) per hour

Status: Non- exempt


Provide all of the following services in English and/or Spanish as needed:

  • Oversee all daily operations of Lobby/Reception area including-

    • Greet clients and guests in a professional, friendly, hospitable manner immediately upon arrival.

    • Ensure phone calls are directed to the appropriate staff person.

    • Provides callers with answers to basic agency information.

    • Route specific client questions to appropriate staff member.

  • Facilities, including open and closing Front Office/Lobby.

  • Scheduling of Conference Rooms, including troubleshooting scheduling conflicts. Advance other facilities issues to building management.

  • Responsible for daily pickup and drop-off of USPS.

  • Ensure proper flow of correspondence and accurate distribution of daily mail. Coordinates pickupand delivery of express mail services.

  • Proactively oversee the ordering, receiving, stocking and distribution of agency supplies and supply requests.

  • Prepare conference room to monthly staff meetings, including any departmental presentations.

  • Assist staff with all requests related to furniture, office supplies & special purchase requests, as well as assist with emergency/drills procedures.

  •  Log all incoming technology tickets, Advance to Admin Mgr or IT Provider for second tier support.

  •  Fulfill all requests for client mail packets. Ensure adequate supply of agency brochures and clinical packets.

  • Support Clinical Team in fulfilling all requests for client mail packets. Ensure adequate supply of agency brochures and clinical materials, as well as provide backup for clinical admin.



  •  Competency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook as well ability to learn new programs.

  •  Ability to use standard and reception phones

  •  Attention to detail in data entry

  •  Ability to type at least 30wpm.



  •  Ability to read, write, and speak English

  •  Ability to read, write, and speak Spanish

  •  Fluency in spoken and written Spanish and English

  •  Experience working with diverse populations in customer service or administrative support role


  • High school or equivalent plus at least 2 years experience;or 2 years college/vocational school plus 1 year work experience
